Frequently asked questions about accessible PDFs

Are all PDFs accessible by default?

+
No. Most PDFs generated from Word, InDesign, or other tools are not accessible by default. To be accessible, they need to be properly tagged, have a defined semantic structure, and include alternative text for visual elements.

What regulations require PDFs to be accessible?

+
In Spain, Royal Decree 1112/2018 requires public administrations to guarantee the accessibility of all their digital documents, including PDFs. At the European level, the European Accessibility Act (EAA) extends this obligation to private companies from June 2025. In any case, the technical reference standard is PDF/UA, based on the WCAG 2.2 guidelines.

How long does it take to adapt a PDF?

+
It depends on the length and complexity of the document. A simple report can be adapted in a few hours, while documents with complex tables, forms, or many images require more time. Contact us with your document and we'll give you a specific timeframe.

Can I prevent the problem at its source, before exporting the PDF?

+
Yes. If the document is created in Word, InDesign, or PowerPoint, it's possible to apply best practices from the start—correct use of styles, alternative text, and reading order—so that the exported PDF is accessible or requires minimal corrections. We can advise you on how to do this.

What is the difference between a labeled PDF and an accessible PDF?

+
A tagged PDF has a basic structure, but that doesn't guarantee full accessibility. An accessible PDF goes further: it has correct tags, verified reading order, alternative text, defined metadata, and complies with the PDF/UA standard. It's the difference between having something and having it done right.
